Promoting Your Event, Program or Service
Have an upcoming event, student activity, program announcement, or campus resource to share? We can help spread the word through our official communication channels.
To help us create engaging, consistent and effective promotions, please follow the guidelines below when preparing and submitting your materials.
1. Creating Graphics for Social Media
Instagram Feed
Our Instagram feed focuses on visually engaging content that highlights the people, programs and experiences that make Laney College unique.
- Use square (1:1) or portrait (4:5) graphics.
- Feature authentic photos of Laney students, faculty, campus activities, or programs whenever possible.
- Keep text to a minimum. A strong headline or short message is usually enough.
- Avoid uploading traditional printed flyers with extensive text, small fonts, or multiple logos.
- Use approved Laney College branding and high-quality images.
Facebook, X & Instagram Stories
Traditional event flyers and posters can often be shared on Facebook, X, and Instagram Stories, provided the information is accurate, readable, and properly branded.
QR Codes & Registration Links
QR codes are great for printed flyers and posters displayed around campus, but they are generally unnecessary for online promotions. They take up valuable space and can be difficult to scan when viewed on a phone.
For social media graphics, please leave QR codes off whenever possible. If your event requires registration or an RSVP, always include the direct URL when submitting your promotional materials so we can share a clickable link with our audience.
Accessibility Tips
Use readable fonts, good color contrast, and captions for videos whenever possible. If you need help making your materials more accessible, we're happy to assist.
Important: The official Laney College seal is reserved for use by the President's Office. Please use approved college branding for general promotional materials.
2. Choosing the Right Communication Channel
We choose the best communication channels based on your content, audience, and timing.
- Instagram: Student-focused photos, engaging graphics, campus experiences, and visual storytelling.
- Facebook & X: Campus announcements, events, community news and informational flyers.
- LinkedIn: Student and alumni achievements, career opportunities, partnerships and professional accomplishments.
- Website Event Calendar: Upcoming events with dates, times, locations, descriptions and registration information.
- Campus Monitors: Short, easy-to-read announcements promoting upcoming events, key dates and important campus information.
- Student Newsletters: Timely updates, student resources, activities and opportunities.
3. Guidelines for AI-Generated Graphics
AI tools can be helpful for creating promotional graphics, flyers, and social media content. However, AI-generated images should accurately represent Laney College, our campus and our community.
When using AI to create promotional materials, please follow these guidelines:
Use Official Laney College Logos
Do not use AI to recreate, redraw, or modify the Laney College logo or other official marks. Generate your graphic without the logo, then add an approved version using Canva, Adobe, or another design tool.
See Brand Guidelines & Tools →
Keep Our Campus Authentic
Avoid AI-generated or altered images that invent buildings, landmarks, or campus spaces, or substantially change the appearance of existing Laney facilities. Our promotional materials should reflect the campus students actually experience.
Respect the Appearance of Real People
AI tools can unintentionally change facial features, skin tones, body proportions and other characteristics when editing photographs. Carefully review images of Laney students, faculty, and staff to ensure their appearance remains accurate and recognizable.
Before Publishing
Always review AI-generated graphics for visual inaccuracies, incorrect text and unintended alterations.
AI can support creativity, but authenticity matters. Our goal is to ensure that the Laney College we present online remains recognizable, accurate and respectful of our community.
4. Submit Content for Promotion
Plan Ahead
Please submit promotional requests as early as possible, ideally two weeks before your event. We understand that last-minute opportunities come up and will do our best to accommodate requests.
To help us promote your content effectively, please provide:
- Event or Announcement Title: A clear, concise headline.
- Description: A brief summary explaining what is happening and why it matters.
- Event Details: Date, time, location, and registration link, if applicable.
- Photos or Graphics: Images or promotional materials, preferably featuring actual Laney students, faculty, or campus activities.
- Contact Information: A department representative or club lead who can answer questions or confirm details.
After You Submit
We'll review your materials and select the most appropriate communication channels. We may make minor edits to improve readability, accessibility, or consistency with Laney's branding. Submission does not guarantee placement on every channel.
